ELD Best Practices
After your company is converted to ELD, you’ll continue to monitor your fleet, run reports, and prepare for audits.
Reporting and Monitoring
To track your drivers’ compliance, you should run and review several reports on a regular basis. Reports you should run on a daily basis are:
- Personal Conveyance Summary and Detail Reports - monitor drivers who are using personal conveyance
- Unassigned Vehicle Activity (UVA) – monitors vehicles which have unassigned driving that needs to be reconciled
- Violations Detail, Violations Summary, and Violations Summary by Driver – monitors drivers who have violations on their logs
- Rejected Edits Detail and Summary Reports – monitors which drivers are rejecting back office edits or UVA reassignment
- Diagnostics and Malfunctions
- Malfunctioning units must be repaired/replaced within 8 days
- Use Diagnostics & Malfunctions Report to monitor units reporting issues
- Data Diagnostics are usually transitory, but if they persist for too long it transitions to a malfunction
- Malfunctions clear at the end of the day and will trigger again the next day if the unit is still malfunctioning
In addition to running those reports, you should also:
- Monitor the ELD Driver Log Report for overview of current Driver clocks and status
- Review daily summaries
- Review detailed list of RODS
- Reconcile UVA via Vehicle Details
Audit Preparation
Prior to an audit, the auditors should provide a range of drivers and dates examine. With that information, you can ensure your records are up-to-date. For all drivers across the specified date ranges:
- Run ELD Driver Log report
- Run Violations report
- Edit or annotate driver’s logs as necessary
- Reconcile all unassigned vehicle activity
- Validate (and correct if necessary) company and carrier information
- Ensure that your drivers log into to an ELD and accept any changes you make
- Rerun and reprint the ELD Driver Log and Violations reports
